Coordinate all responsibilities associated with the 1st and 2nd grade program

Responsibilities

  1. Create and send out flyer - Distribute flyer to the elementary schools in the first week of September and November.  Include program information, registration dates and times, and a number for interested coaches to call ahead. 
  2. Determine # of teams - This is based on gym space.  We typically have had 30 teams with 240 kids (8 per team) and have had a Waiting List of about 30 after the fall registration ends.  Based on feedback, I would not increase this #.  We used 5 hours of (3 Gym) Gym space. We have added a winter session and those on the Waiting List get first priority.
  3. Book the gym - Schedule the program in the same gym following the 3rd grade girls (They have the fewest teams).  Schedule 6 teams per hour (2 in one gym).  It is most efficient to use one of the large gyms.  Get the permits. 
  4. Decide on program format changes (if needed) - Currently the first 3 sessions are 1 hour practices and the last 4 sessions are skills competitions and scrimmages.  Score clocks and Referees are not needed.
  5. Coordinate Registration - Registration takes place in September and December and is on line. Watch as registrations come in to adjust for # of girls/boys teams. Typically it is 22-8 or 20-10.
  6. Find Coaches and determine teams - Place players on teams by school and neighborhood if possible.  Try to honor requests if possible.  Put no more than 8 players on a team.  Separate boys and girls.  Separate 1st and 2nd grade in the boys program as well as you can.
  7. Work with equipment mgr. to order T-shirts and order medals through Trophies by Linda. Order enough for both sessions.
    1. Order shirts in 6 [?] different colors.
    2. Order 480 medals.
    3. Talk to owner of DQ about free Blizzard coupons.
  8. Determine schedule - Create practice times for each team for first 3 weeks.  Create game match-ups (keep shirt color in mind). Create game schedule for next 4 weeks.
  9. Put coaches’ packets together - Include coaches' names & numbers, team roster, skills information, games rules, practice and game schedule, practice tips and overall philosophies.
  10. Coordinate equipment - Make sure there is an additional bag of 12 balls at the gym. You will need two bags. You will also need 3 sets of 4 different colored wrist bands for the games.
  11. Hold coaches orientation for both sessions- Provide and go over coaches packet at coaches orientation.  Hand out schedules, t-shirts, and rosters at this time.
  12. Set-up gyms on Saturday - Every Saturday all 3 gyms need to be separated and chairs set up along the sides of all three gyms. Baskets set at 8.5ft. Also, wristbands need to be given to the first coaches of the day on scrimmage days.
  13. Attend as many Saturdays as you can - It is critical that you plan to attend the entire day on the first day of the program, the first day of games, and the last day of games.
  14. Answer coach and parent questions throughout the program - The bulk of the phone calls are during registration and team formation time.   
  15. Report monthly to the board - Give an over-all update of how things are going.
  16. Pass out and tally evaluations - Hand out evaluations to all parents at the start of the last game and collect them at the end. Review evaluations and summarize them for the board.
