Coordinator Tournament.

Responsibilities

  • Schedules, Referees, and Trophies needed by the tournament will be coordinated by this position through the appropriate OMGBA function.
  • Game Bracketing
    • Try to play teams on all three days (more gate receipts)
    • If two games on the same day, have a small time between games (i.e. 8 AM and 11:30 as opposed to 8 AM and 3 PM {people tend to hang around and buy concessions})
    • Games at schools (i.e. keep 5th and 7th grade at one school and 6th and 8th at another school) - grades tend to watch other teams play and buy more concessions.
  • Work Schedules - Volunteers for concession, site supervisor, and admissions is the responsibility of this position for the tournament programs.
    • All board members are expected to work all tournaments as site supervisors
    • Try to work it so the kids are not playing (if possible)
    • Work schedules passed out to coaches and must be filled out before coach receives playing schedule - otherwise there is no other leverage to have the bracketing filled in.
      • No Brackets to coaches until work schedule is returned.
  • Admissions
    • 1-person shifts - that starts very early, when the school is first opened.
  • Concessions
    • 2 persons shifts
  • Time Keeper / Score Keeper -
    • If problem, have visiting team supply score keeper

Volunteers for concession area with food and drink items is the responsibility of this position to ensure accuracy and timeliness of tournament programs.

This position will serve as the OMGBA point of contact for all potential participants. Traveling Program Directors will assist in initiating and maintaining this contact. Notification of tournament dates with accompanying invitations will be forwarded by this position to all approved basketball association contacts in the OMGBA playing region. These invitations will be sent in a timely manner to ensure representation of the best teams in the area.

Notes:

  • Past experience says that high school students are unreliable.
  • Most activity is in June and July

Monthly Notes

April

  • Around May 1,
    • Get new flyer made up
    • Get Flyers to MYAS (600+ for 2003)
    • Send, or take, to MYAS with $75 fee - for boys only (don't combine boys and girls in the same packet)

May

June

  • Set up people in tournaments
    • Take post dated check - for around Oct 15

July

  • Set up people in tournaments
    • Take post dated check - for around Oct 15

August

September

  • Reserve schools for fall tournament (2003 had Osseo SR and Maple Grove SR)
  • Try to get brackets filled up by the end of September

October

  • About two weeks before tournament, get Brackets, work schedule and site supervisors completed as soon as possible.
  • Get complete work schedule back before issuing brackets.
  • Place on web for other coaches to download one week before tournament (if possible).

November

  • Conduct Tournament
  • Wrap up financials and "lessons learned" at either the November or December meeting (financials will be reported by treasurer)
  • Place completed brackets on the web

December

January

  •  Call and place new name (if needed) on the MYAS information. 763-781-2220

  • Boys Tourney: Call Golden Valley about their tournament for next year - Avoid same week end (get number from MYAS Book)
  • Boys Tourney: Call Chaska about their tournament for next year - Avoid same week end (get number from MYAS Book)
